Guidelines for your portrait session
Hi there, I’m glad you’re planning a portrait session with Franctal Studio. We make a good effort to go over every information during your design consultation but I know some things may slip through the crack or you may not remember with all the information you are provided with. That’s why these guidelines are set up to help you remember some of the details. I look forward to creating beautiful portraits of you.
Session Fees and Location Costs
Required session fee is due at the time of booking to secure your appointment date and time. This is a non-refundable fee that goes toward your session. The session fee covers the design consultation and ordering appointment, time of your portrait session, basic retouching and creative editing of photographs. All print and digital products are ordered separately. Portrait experiences begin at the time of booking and are only concluded when finished products are ordered and delivered. A minimum order requirement is applied on all sessions and due at the time of your design consultation.
Location, Costs & Fees
For most portrait sessions, you do have the options of a studio session, in-home session or in an outdoor location of your choice. If there are any costs/fees associated with the location the client has chosen for their session (including but not limited to, use of facilities), the client will be responsible for those fees. The photographer will not guarantee or arrange payment on any location. You may choose locations (within the lower mainland) that bring good memories for you or are a central part of your personal or family tradition. They make for good stories to tell in the future. A studio session (in-studio or outside the studio area) is recommended, otherwise.
All payments are due in full at the time of ordering, unless pre-payment arrangements have been made prior to your session. Orders are processed immediately following your session. All custom/signature sessions require the commissioning of portraits and payment towards one of our minimum order collections, except when categorically stated on a gift voucher with our non-profit partnerships and other organizations. During your design consultation, you will decide exactly what you’d like created for you. All portrait sessions are geared towards the end goal; creating tangible portrait pieces. Same day savings are applied for portraits commissioned at the consultation. Only one type of savings or gift voucher may apply to a session. Payment Plans are not available once your portrait session is done.
While the value of gift vouchers do not expire, other conditions may apply. A $100 commitment fee is required to schedule your design consultation and session, completely returnable once all appointments have been honoured. It may be put towards your final portrait order.
Rescheduling and Refunds
If an illness or situation prevents a photo session from taking place, you may reschedule your once for personal reasons with adequate notice without penalty. Subsequent rescheduling, same-day cancellations/rescheduling or rescheduling/cancellation within 48 hours of your appointments, and rescheduling a portrait session within two weeks of the scheduled date attract a $250 charge. Should you decide to completely cancel the session, the session fee is forfeited and will not be refunded. In addition, to the full value of your session, fee, you will be charged an additional $250 cancellation fee. Photographer reserves the right to reschedule due to illness, weather, equipment malfunction, or other circumstances beyond their control. Should session have to be rescheduled, rescheduling must be within 180 days. Session fees are non-refundable and may not be applied to another session after 180 days from payment. It is the photographer’s decision to reschedule a session in the event of weather-related issues (thunderstorms or snow and hazardous weather conditions at the time of session) within 2 – 4 hours of scheduled time depending on the type of session. As Metro Vancouver is synonymous with rain, rescheduling because of rain, especially during fall season, is only made on a case-by-case basis.
**Due to the recent pandemic, sessions can be rescheduled with no charge if you or anyone around you falls ill or shows any symptoms of covid-19***
Re-doing the session / Refunds
Re-shoots are determined at the discretion of the photographer. Re-shoots and refunds will not be given for poor choices of clothing, make-up, hair or weather-related issues, lateness or by not following the recommendations of the photographer.
You may be hosted to a reveal and ordering session within seven to ten days after the portrait session for on-location sessions, when requested prior to the session. Otherwise, ordering appointments are held immediately following your session. Should more time be required following a session, you may request for an ordering date outside of the ten days. An archival fee will apply in the meantime. Favourite portraits are selected for production during the ordering appointment. You may not change orders after the session, however, you may place orders for additional portraits after your appointment. All sales are final. Franctal Studio does not process refunds. One ordering appointment is included in session fees and additional ordering appointments are charged at $150/hour.
All portraits are fully retouched with basic professional retouching, including background clean up, reducing skin blemishes, evening out skin tones, reducing stray hairs (against background only), whitening teeth, whitening and sharpening eyes and softening deep wrinkles. Master retouching is provided for wall portraits only. Additional requests for retouching are accommodated on a case-by-case basis and may incur additional charges.
Following a portrait session, portraits are archived for up to 7 days with no charge within which an ordering appointment has to be scheduled. Client may request for additional archiving not more than 3 weeks after the end of the 7-day period for a $250 fee, after which the portraits will be purged from photographer’s hard-drive, if no ordering occurs. All portrait ordered are permanently archived by the photographer. Photographer is not responsible for loss or damage to the digital files due to circumstances beyond photographer’s control.
Model Release, Liabilities & Copyright
By signing up for a session, you are giving Franctal. Studio the permission to photograph you (and/or my minor child(ren) as well as others as included in your portrait session. You may let us know if you would prefer for your photographs to not be posted on social media. We respect your privacy.
Photographer is not responsible for the damage of portraits after delivery to you. Once delivered in good condition, you assume all the responsibility for the safety of all portraits upon receipt.
You will be responsible for keeping you and your children safe during the session.
Franctal Studio owns and retains all copyrights to all images created during client’s session, and may use, re-use, publish and re-publish the same in whole or in part, separately or in conjunction with other photographs, in any medium now or hereafter known, and for any lawful purpose whatsoever, including (but not by way of limitation) illustration, promotion, advertising and trade. A print release may be granted with digital files to print portraits for personal use up not more than 8×10 inches. The print release does not allow publication of your portraits (i.e. entering in contests), selling or altering of your images without the photographer’s written permission. It is illegal to copy, scan, download, print, alter, or otherwise steal any image created by Franctal Studio during client’s photo session. This applies to images used on blog, digital media, or hard copy images.
By consenting to a session, you authorize Franctal Studio to charge your credit card/debit card/cheque for agreed upon purchases and fees, when due. You understand that your information will be saved to file for future transactions on your portraits and portrait session. All orders are final and non-refundable due to the custom nature of the service and products. Regardless of payment method, the credit card on file will be used if payment is not received as agreed for the full balance. All unpaid accounts are subject to payment collection activities.
